Tame the Inbox of Doom: Simple Tips to Take Back Control

We’ve all been there — you open your inbox and are instantly overwhelmed by a flood of unread emails, promotions, newsletters, and updates you don’t even remember signing up for. Important messages are lost in the noise, and just thinking about sorting through it all feels exhausting.

The good news? It doesn’t have to be this way.

With a few simple steps, you can turn your inbox from a source of stress into a calm, organised space that works with you — not against you.

Here are my top tips to help you tame the inbox of doom once and for all.

1. Unsubscribe Ruthlessly

Many of us sign up for email lists to grab a helpful freebie or resource, only to be bombarded by updates we never read. These emails clog up your inbox, even if you don’t open them.

Spend a few minutes each day unsubscribing from anything that no longer serves you. Most emails have an unsubscribe link at the bottom — and if they don’t, that’s a red flag in itself.

Be intentional about what you allow into your inbox.

2. Create Rules and Filters

Let your inbox do the hard work for you.

Email platforms like Gmail and Outlook allow you to create rules (or filters) that automatically send incoming emails to specific folders based on who they’re from or what they’re about.

This is especially useful for:

Emails from important clients or colleagues

Receipts or invoices

Newsletters you do want to keep but don’t need to see straight away

This way, you can focus on what’s urgent — without losing track of what’s important.

3. Set a Daily Inbox Timer

You don’t need to spend hours wading through your inbox.
Set a timer for 5 to 10 minutes a day — perhaps before you finish work or during a quiet moment in the morning — to delete, archive or file emails.

Done regularly, this small habit makes a big difference.

4. Archive or Delete Old Emails

If it’s older than a month and you’ve ignored it, chances are you don’t need it.
Be honest with yourself: will you ever reply to that email from February?

Use the search bar to bulk delete or archive by sender or topic — for example, “newsletters” or “sales”.

It’s incredibly freeing to start fresh.

5. Don’t Let Your Inbox Fill Up

Most email providers have a storage limit. Once your inbox is full, no new emails can come in — which can be frustrating (and risky) if you’re waiting on something important.

Make regular maintenance a priority. You wouldn’t ignore a full letterbox — treat your inbox with the same respect.
